Etapero vs Smartsheet
Smartsheet builds a project around a sheet with a Gantt view. Etapero builds it around the work breakdown, dates and portfolio, and runs on your server.
What Smartsheet is
Smartsheet is a cloud platform where a project lives in a sheet with a Gantt view. According to Smartsheet’s help, with dependencies on you can show the critical path, and a project sheet can have one baseline. Portfolios come with Enterprise plans, and Control Center is an add-on or part of the Advanced packages. Besides the main cloud there are regional clouds; we found no self-hosted option in the official materials.
Smartsheet’s strengths
- A familiar sheet view. People used to Excel get started easily.
- Gantt chart, critical path and baselines. Classic planning right in the sheet.
- Automations and forms. Requests, notifications and approvals without programming.
- Scale. Portfolios and Control Center help run many similar projects.
What users say
On Hacker News Smartsheet is described as “closer to MS Project than to kanban boards”. One user wrote in 2024 that they plan in Smartsheet but wrote a separate tool that draws the Gantt chart from an export to show it to management — the built-in view did not suit presentations.
The main topic of recent years is the licensing change. In the Smartsheet community in 2024–2025, users discuss a new licensing model under which internal users with edit rights become paid, while before they could work for free; guests from other organisations have their own terms, and the outcome depends on the plan and contract. Forum threads describe the number of paid seats having to grow many times over, and one administrator writes of costs rising almost tenfold. A blog of another vendor gives an example of a 50-person company where ten people keep sheets paying several times more. These figures depend on the contract, but many write about the change itself.
The same themes come up on Reddit. In the Smartsheet community in 2024 the main complaint is the new licensing model, where the cost depends on the number of internal editors; yet an administrator of an organisation with 5,000 users and more than 70 solutions replies that leaving would be very expensive — Smartsheet is that deeply built into their processes.
Other remarks include a flat data model (sheets without links between entities) and cloud-only delivery. On review platforms some authors complain about support response times, while many praise the product itself for its Gantt chart and automations.
Stories of adoption and moving
We found no detailed independent adoption stories of Smartsheet on Habr or vc.ru, Russian tech and business communities — the service is little used in Russia. On Reddit in 2025, an organisation that had kept project plans, dashboards, automations and client sheets in Smartsheet for about two years discusses moving because of limits on guest editing. Participants call a return to Excel and SharePoint possible, but with a lot of manual work and double entry.
The lesson from these discussions: Smartsheet suits a shared cloud sheet with a Gantt chart, and its licensing needs attention as the number of users grows.
How Etapero differs
Smartsheet starts with a general-purpose sheet to which a Gantt chart is added. Etapero starts with the plan: a work breakdown with phases, work packages, milestones and goals, four dependency types, critical path and baselines, and the table is the way to edit the plan. Slippage against the baseline shows on rows and milestones, and the portfolio shows goals, risks and problems of every project.
The second difference is where the data lives. Smartsheet is a cloud service; Etapero installs on your server as one Docker image with PostgreSQL.
The third is Jira. Etapero pulls issues read-only and checks plan work statuses against them, writing nothing to the tracker. If you need a cloud sheet for many departments with forms and automations, Smartsheet is a strong option.
At a glance
| Etapero | Smartsheet | |
|---|---|---|
| Where it runs | On your server: one Docker image and PostgreSQL; the demo runs in the cloud | A cloud service, regional clouds included; we found no self-hosted option |
| Gantt chart | Yes: all four dependency types, lead and lag | Yes: a Gantt view of a sheet |
| Critical path | Yes, worked out automatically | Yes, with dependencies on |
| Baseline | Yes: forecast slippage shows on rows and milestones | Yes, one per project sheet |
| Project portfolio | Yes: every project’s goals on one timeline, progress, risks and problems | Portfolios — Enterprise; Control Center — add-on |
When to choose Smartsheet
- You want a cloud sheet a large team can work in.
- Forms, automations and sheet-based reports matter most.
When to choose Etapero
- Data must stay on your own server.
- The plan is a work breakdown with milestones and goals, not a general-purpose sheet.
- Teams work in Jira, and connecting it must not change anything there.
Moving a plan over
The work breakdown can be loaded into Etapero from Excel or CSV: it understands column headers and outline levels, including the MS Project export layout, and shows what will change before anything is written.
